This Privacy Policy explains how Modafie (“we”, “us”) handles personal data when you visit modafie.io, fill in one of our forms, or contact us by e-mail, phone or WhatsApp about producing clothing for your brand.

We only collect what we need to answer your enquiry and work with you. We do not sell personal data, and we do not use analytics or advertising tracking on this website. Our services are meant for businesses and adults and are not directed at children.

What personal data we collect

  • Contact and offer forms. The details you enter: your name, e-mail address, phone or WhatsApp number, brand name, what you would like to produce, quantities, the services you need and the description of your project.
  • E-mail, phone and WhatsApp. Your contact details and whatever you choose to send us, such as sketches, tech packs, mood boards or order details.
  • Client work. If we work together: the information needed for samples, production, invoicing and delivery, such as company details, billing and shipping addresses.
  • Technical data. To block spam, our forms keep a one-way scrambled (hashed) version of your IP address for one hour. Like any website, our hosting provider’s servers also record standard log data (IP address, browser, pages requested and time) for security and troubleshooting.

Please do not send us sensitive personal data (for example health information); we do not need it.

Why we use it and our legal basis

  • To answer your enquiry and prepare an offer – steps you asked us to take before entering into a contract (GDPR Art. 6(1)(b)).
  • To produce, deliver and invoice your order – performance of our contract with you or your company (Art. 6(1)(b)).
  • To keep accounting records – compliance with legal obligations (Art. 6(1)(c)).
  • To keep the website secure and free of spam – our legitimate interest in running a safe website (Art. 6(1)(f)).
  • To follow up on a request or an ongoing project – our legitimate interest in keeping in touch with brands that contacted us (Art. 6(1)(f)). We do not send marketing newsletters.

The consent box on our offer form confirms that you want us to contact you about your request.

Who we share it with

We share personal data only when it is needed for the purposes above:

  • Hosting and e-mail. Our website and e-mail are hosted by Veebimajutus.ee in Estonia, which stores and processes the data on our behalf.
  • Delivery. If we ship to you, the courier receives the name, address and phone number needed for delivery.
  • Accountants and authorities. Invoicing data goes to our accountant, and we disclose data to authorities when the law requires it.
  • WhatsApp. If you message us on WhatsApp, the conversation is also handled by WhatsApp (Meta) under its own privacy policy.

We do not sell, rent or trade personal data.

Cookies

This website does not use analytics, advertising or social media tracking cookies, and it does not set cookies for normal visitors. Our fonts are hosted on our own server, so your browser does not contact Google Fonts or other font services when you visit.

If we ever add cookies that are not strictly necessary, we will ask for your consent first and update this policy.

Links to other websites

Our website links to WhatsApp, Instagram, LinkedIn and Facebook. When you follow these links, you leave modafie.io and the privacy policy of that service applies. We are not responsible for how those services handle your data.

How long we keep your data

  • Enquiries (form submissions and e-mails that did not lead to an order): as long as needed to handle the enquiry and follow up, and no longer than 2 years after our last contact.
  • Client records: for the duration of our cooperation; accounting documents for 7 years, as required by the Estonian Accounting Act.
  • Anti-spam IP hashes: 1 hour.
  • Server logs: for the limited period set by our hosting provider.

You can ask us to delete your enquiry at any time.

How we protect your data

The website is served only over an encrypted connection (HTTPS). Form submissions are stored in the password-protected admin area of our website and in our business mailbox, and only the people at Modafie who handle enquiries and orders can access them. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data.

Your rights

Under the EU General Data Protection Regulation (GDPR) you have the right to:

  • ask what personal data we hold about you and get a copy of it;
  • have incorrect data corrected;
  • have your data deleted, unless we must keep it by law;
  • restrict or object to processing based on our legitimate interests;
  • receive the data you gave us in a commonly used format (data portability).

To use any of these rights, e-mail productionhead@modafie.io. We will reply within one month and may ask you to confirm your identity first.

Complaints

If you are unhappy with how we handle your data, please contact us first, so we can try to fix it. You also have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, www.aki.ee) or with the data protection authority in the EU country where you live or work.

International transfers

Our website and e-mail are hosted in the European Union. Data may be transferred outside the EU or EEA only when that is needed to serve you, for example when we deliver to or correspond with a brand outside the EU, or when you contact us via WhatsApp (Meta). In those cases we rely on the safeguards provided by the GDPR, such as adequacy decisions or the European Commission’s standard contractual clauses used by these providers.

Changes to this policy

We may update this policy when our website or services change. The current version is always published on this page, with the date of the latest update at the top.
